Estimates are intended for your customers to provide them an estimate for how much the job your company will be performing for them will cost.
Estimates move through four states: Draft → Signature Requested → Signed → Closed. Understanding what’s editable when prevents lost work and version confusion.
Before you start
You may want to create the Customer and Project first (Projects house Estimates, and Work Orders).
Only Draft estimates are fully editable.
Create & prepare
Go to Estimates → Create Estimate.
Enter Estimate Name, pick Location, choose the Project.
(Optional) enable Include Sales Tax and set the Tax Rate.
4. Add Line Items (Title, Description, Rate, Quantity).
5. (Optional) Set Discount (% or $) and Set Deposit (fixed $).
6. Keep working in Draft until it’s ready.
Send for signature
Click Request Signature. The estimate becomes read‑only.
We email the customer and provide a shareable link (Copy Link).
Need a change? Click Undo Request, then Duplicate to revise without losing the history.
Approval paths
Customer e‑signs → status becomes Signed and a Job is created on the Project.
Approve w/o Signature if the customer approved by phone/email and you need to lock it in.
After it’s signed
Record money received via Manual Payment (HeyPros is not a payment processor).
From the Job (on the Project) click Create Work Order to create and dispatch a corresponding work order from your signed estimate (job).
Close & archive
Use Closed when the estimate/job is complete and no further actions are needed (read‑only).
Troubleshooting
Can’t edit? It’s in Signature Requested or Signed. Undo Request or Duplicate.
Customer didn’t get it? Use Copy Link and share directly via email or text.
