How Do I Track Financials on Projects?

Every Project has a financial dashboard that includes: Revenue, Materials Cost, Work Order Cost, Profit, Margin, and Budget tracking.

Revenue options

  • Auto from Signed Estimates: pulls the sum of signed HeyPros estimates on the project.

  • Manual Revenue: enter a fixed amount if you invoice outside HeyPros.

Other inputs

  • Materials Cost: enter a lump sum (update as you purchase).

  • Work Order Cost: auto‑calculated from contractor totals across all work orders in the project.

  • Budget: your planned spend (manual).

  • Profit/Margin: Revenue − Materials − Work Order Cost = Profit

Set it up

  1. Open the Project → Dashboard.

  2. Click the Revenue pencil to choose Auto from Signed Estimates or Manual.

  3. Manually enter Materials Cost and Budget.

  4. As work completes and invoices are approved, Work Order Cost updates.

Best practices

  • Update Materials weekly; attach receipts in Internal Attachments if needed.

  • Keep deposits and progress payments recorded on the estimate for clean revenue matching.

  • Use Labels on related work orders (e.g., “Over budget watch”).
