HeyPros customers paying for our Pro package are now able to add checklists β to their work orders to make sure that their subcontractors and staff are following processes and completing assigned tasks.
π If you don't have this feature included in your package, but are interested in having it added, reach out to [email protected] for more details. π
To create a checklist, navigate to "Checklists" under settings.
Checklists are templates of tasks that can be assigned to numerous work orders, rather than single use tasks lists that can only be used on an individual work order. When you create a checklist, you're creating something that you can use time and time again to save your team extra work.
Click "New Checklist" to create a new checklist template.
First name your checklist. Then select which category or categories of job that this checklist will be used for.
Next, name your first checklist item and write a description of the task you would like your subcontractor or staff member to complete.
To require a picture or video be provided for a checklist item to be considered complete, check the box labeled "Require user to upload at least one file". To make the checklist item for a staff member, and not visible to your subcontractor, check the box labeled "Visible only to staff". These two boxes can also both be checked to require that staff upload a picture or video file to complete their checklist item.
To add more items to the checklist, click "Add Another Item"
To set-up custom automated alerts for the checklist item, turn on the "Enable Alerts" toggle.
The "Receiver" field will allow you to set alerts to be sent to either staff or the subcontractor user. The "When" field will allow you control the timing of when the user will receive alerts about the checklist item.
The "Alert again in 24 hours if not complete" check box will make it so the user is reminded in 24 hours to complete their task if they have not already marked it as done.
Once you're done adding items to your checklist, click "Update" to save the checklist.
To add the checklist to a work order, simply start creating a work order and click "Add" in the Checklist section of the work order creation screen.
Select which checklist or checklists, you would like to add to the work order- you can add multiple if you choose.
To edit the checklist, click the pencil icon. To remove it from your work order, click the garbage can icon.
Edits made to checklists from this screen will not update the overall checklist template unless you select the "Update Template" toggle, they will just be made to the checklist on this one specific work order.
