Contractors can be added to your platform by creating them on the Users page. We have made the process very easy, removing any barriers for the subcontractors to begin using HeyPros.

When creating a contractor, they don't need to accept any invite. Once you start sending them work orders they will receive SMS notifications with magic links logging them into their account using their phone number.

Keep in mind: after creating a contractor, they can bid on your work orders if you have not marked them as compliant- but your team will not be able to award jobs to them until you've marked them as compliant. Here's how to create a contractor.

Inviting contractors

1. Click on "Users"

2. Click on "Add User"

3. In the drop-down menu select the role as "contractor"

4. Enter the contractors first name, last name, phone number, and email.

5. Click on "Location" and select a location.

Note! If you select a location/group, the contractor will be assigned to that specific location/group. Regardless if a location/group is selected or not, you will still have the option to publish a work order "publicly" and show it to all contractors in ALL locations/groups. Your default location will be your company's name, if you only have one location this will be where you assign all contractors.

6. Click on "Create User"

The contractor doesn't have to do anything from their end. They will receive a text message notifying them that your company is now using HeyPros to dispatch work orders to them. They will receive a magic link taking them directly to their account.

For ease of use, we recommend the contractors download the HeyPros mobile app and log in using their phone number. But if they choose not to, they will still be able to do 100% of the functionality from the magic links we will send them every time you post a work order, require documents from them, send a message, etc.

However, once you create a contractor, you as the staff member aren't done yet.

In order to allow your contractors to take work orders from you they must be marked as compliant and given an authorized category/state.

Marking contractors as compliant

1. Click on "Users"

2. Find your contractor's "Compliant" check box and click it to check as compliant.

You have successfully created a contractor, and have marked them as compliant. The only step remaining is to add authorized State(s) and categories to your contractors.

Authorized Category & State

Before your subcontractors can take work orders on HeyPros you must also add an authorized category and state to each contractor user.

1. Click on the triple dot next on the far right side of your screen

2. Click on "Edit User" and navigate to "compliance & authorization"

3. Add an Authorized Category & Authorized State (or multiple) for each contractor

This allows you to control the categories and states each contractor has permission to do for your company, preventing your PM's from accidentally giving contractors jobs they are not permitted to work on.

That's it, after this is done the contractor can begin to take work orders from your company.
